Short Description
Work Schedule Manager dashlet allows users to log the time they spend on various activities during their workday.
Dashlet localisation
To access the Work Schedule Manager dashlet, go to your MintHCM Dashboard. It should appear there by default, but in case it has been removed you can always bring it back by clicking ACTIONS → Add Dashlets → TOOLS → Work Schedule Manager → Close. After closing the window dashlet should be visible on your dashboard again.
Loging time
In order to log the time spent doing some activity during a workday follow these steps:
- select a date that has at least one work schedule defined. Current date should be selected by default. To change that click on the "calendar" icon (see Dashlet Work Schedule Manager screen, ref. 1) and select the date on a popup window. You can also use the arrows (see Dashlet Work Schedule Manager screen, ref. 2) on either side of the date field to quickly move to the next or previous day.
- choose the appropriate work schedule from the "Work Schedules" dropdown list (see Dashlet Work Schedule Manager screen, ref. 3). If you don't have any work schedule set on the selected date, this dropdown list will be empty, and you won't be able to log the time on that day.
- Click on the "Clock" icon (see Dashlet Work Schedule Manager screen, ref. 4) to open a popup window (see Popup window for time logging screen).
- Fill at least all the necessary fields (marked with a "*" symbol):
- Date - Start date and time of your activity. Date is set by default to the same as chosen in dashlet window, but can be modified here by clicking "calendar" icon. Apart from that you need to set the time when the activity you would like to log your time on started. You can do so by selecting correct hour and minutes values from the drop down list next to the date field.
- Date End - End date and time of your activity. The date is also set by default to be the same as chosen in dashlet window, and also can be modified. You can change both date and time in this field in the same way as in the "Date" field described above.
- Actual Effort (hrs) - amount of time that you've spent on the task.
- Description - brief description of the task.
- Work Schedule - Selected work schedule. It is set by default to the same as chosen in dashlet window, but can be modified here by clicking "arrow" icon next to this field and selecting other work schedule from the list.
- Category - optional field, where you can choose the category of your task from predetermined drop down list.
- Note: the "Date", "Date End" and "Actual Effort (hrs)" fields are connected. You can fill the "Date" field and one of two others, and then the value of the remaining will be calculated accordingly.
- Click "Save".
Logged time to a selected work schedule is displayed on a progress bar at the bottom of a dashlet (see Dashlet Work Schedule Manager screen, ref. 5). You can Edit your entries by clicking on a particular progress bar segment and apply your changes in a popup window the same way that you've done while creating it. Once you managed to log all the time from work schedule to a specific tasks it is possible to submit it by clicking on a "checkmark" button (see Dashlet Work Schedule Manager screen, ref. 6).
Note: When you submit your work schedule, as a standard user you won't be able to edit it any more. Remember to ensure that you logged your time correctly before doing so.
FAQ
- What if I don't have any work schedules defined?
- You need to create some work schedules in order to log your time. If there is no work schedules available, then the "Work Schedules" drop down list will be empty, and you won't be able to select anything, and proceed further in this process.
- How do I define a work schedule on a particular day?
- Work schedule is a separate module in MintHCM where you can manage your work schedules. Go to Work Schedules section to find out all about it.
- Can I log the time for activities that is outside the range of a selected work schedule?
- No.
- Can logged time for one activity overlap with the time logged for another activity?
- No.
- Can I log time for a future dates?
- Yes.
- What if one day I stopped working for a few hours and then resumed it? How can I log the time in such cases?
- You can either create two separate work schedules for that day and then log your time for each work Schedule separately, or simply create a task for your brake and provide a proper description to it.
